Privacy Policy
Last updated: 5 October 2026
This policy explains what personal information The Tan Lounge Ltd ("we", "us") collects when you visit our website, contact us or book a sunbed, why we need it, and the choices you have. We are the data controller for this information.
Who we are
The Tan Lounge Ltd, 1b Debdale Ln, Keyworth, Nottingham NG12 5HT. Email info@thetanloungekeyworth.co.uk or call 07730 399 361 with any question about your information.
What we collect
- When you contact us: your name, email address, phone number and your message.
- When you book a sunbed: your name, mobile number, email address, your skin type, confirmation that you have read our tanning declaration, the bed, date and time you book, and whether you would like to hear about offers.
- When you visit the salon: attendance, session minutes, course balances, payment type and any notes our team needs to look after you safely (for example, advice about session length).
- When you use the website: your IP address and basic technical details, which we use only to keep the site secure and stop spam.
Why we use it, and our legal basis
- To take and manage your bookings, send confirmations and reminders, and let you cancel online. This is needed to provide the service you ask for (contract).
- To keep you safe on our sunbeds. Your skin type helps us recommend a safe session length. Because it can say something about your health, we only collect it with your explicit consent, which you give when you tick the declaration. You can withdraw consent at any time, but we may then be unable to offer you a session.
- To reply to your enquiries and run the salon, for example keeping booking and course records (legitimate interests).
- To send you news and offers, only if you opt in (consent). Every email has an unsubscribe link.
- To protect the website from spam and abuse (legitimate interests).
Who we share it with
We never sell your information. We use a small number of trusted suppliers to run our website and booking system:
- our web host, which stores the website and booking database;
- Postmark (ActiveCampaign), which sends our emails — data may be processed in the USA under approved safeguards;
- Cloudflare Turnstile, which checks that form submissions come from real people.
Our contact page shows a Google map. It only loads when you scroll to it, and Google's own privacy policy applies to it.
How long we keep it
- Contact form messages: up to 12 months.
- Customer and booking records: while you are a customer and for 2 years after your last visit. After that we delete your details and keep only anonymous booking figures.
- Marketing preferences: until you unsubscribe.
Cookies
Our website does not use advertising or analytics cookies. Staff who log in to manage bookings use a necessary login cookie.
Your rights
You can ask us for a copy of your information, ask us to correct or delete it, object to how we use it, ask us to restrict it, or ask for it in a portable format. Email us and we will reply within one month. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
